Is your Dealership OS leaking margin?
Most dealerships lose $15,000+ per month due to "Frankenstein" tech stacks and broken processes. Download our free Dealership OS Checklist from CarSalesSoftware.com to identify your leaks in under 10 minutes.
Streamlining Dealership Accounting
For independent and Buy Here Pay Here (BHPH) dealerships, keeping the books balanced is often a massive headache. Double-entering deals from the CRM into the accounting software leads to errors, mismatched ledgers, and a lot of late nights for the controller.
A frequent question we receive during demos is: "Does your software integrate with QuickBooks?"
Yes, We Integrate with QuickBooks (Online and Desktop)
Our dealership operating system features a robust, two-way integration with both QuickBooks Online and QuickBooks Desktop. We designed this specifically to eliminate double data entry and ensure your financial reporting is always accurate in real-time.
How the Integration Works
When a deal is finalized and "capped" in our desking/F&I module, the system automatically generates a journal entry and pushes it to QuickBooks. This includes:
- Vehicle Cost & Reconditioning: Moves the asset out of inventory and records the cost of goods sold (COGS).
- Sales Revenue: Records the front-end gross, taxes collected, and DMV fees.
- Back-End Products: Records the revenue and payables for VSCs, GAP, and other F&I products.
- Customer Data: Creates or updates the customer profile in QuickBooks for invoicing and record-keeping.
Managing BHPH Payments and Accounts Receivable
If you run a BHPH lot, our software handles the complex amortization schedules and payment collections. When a customer makes a payment via our portal, the system automatically splits the payment into principal, interest, and late fees, and pushes those exact line items into QuickBooks. Your accounts receivable aging reports are always perfectly in sync.
What about other accounting systems?
While QuickBooks is the most popular among independent dealers, we also offer export capabilities and API connections for larger enterprise accounting systems (like Sage or Microsoft Dynamics). During onboarding, our implementation team will work with your controller to map your chart of accounts so that every dollar flows exactly where it needs to go.
