What does a DMS do?
A DMS is where a deal goes once it is sold. The usual parts are:
- Deal posting and paperwork: contracts, buyer's orders and the forms your state requires.
- Title and registration work, often with state-specific forms.
- Accounting: the general ledger, schedules, floor plan and month-end close.
- Payroll and commissions at stores that run them in-house.
- Service and parts at stores with a shop: repair orders, parts inventory and technician time.
- Factory and lender reporting at franchise stores.
Some DMS products also include a CRM, desking or a website; others connect to separate tools for those. That is why "dealer management software" and "car sales software" are often used for overlapping products. The difference is the job each is built around.
DMS vs. CRM vs. AI operating system
| DMS | Dealership CRM | AI operating system for the selling side (e.g. CarSales AI) | |
|---|---|---|---|
| Main job | Book the deal and keep the store's records | Win the sale and keep the customer | Run the selling side in one system, with AI doing the first reply and the follow-up |
| Who lives in it | Office, accounting, F&I, service and parts | Salespeople, BDC, sales managers | Salespeople, managers and owners at small and mid-size stores |
| Core records | Deals, general ledger, payroll, repair orders, parts | Leads, conversations, appointments, tasks | Leads and conversations, inventory, desked deals, BHPH accounts |
| AI | Varies by product | Varies by product | AI texting, a phone AI that books visits, AI-written vehicle content |
| Typical fit | Stores with an accounting office, service bays or OEM reporting | Every store with internet and phone leads | Independent, used, BHPH and small franchise stores that want fewer logins |

Who needs a DMS?
- Franchise stores and groups almost always keep an OEM-approved DMS and choose the selling-side tools separately. See franchise dealership software.
- Stores with a service department need repair orders, parts and technician time somewhere; that is DMS work.
- Independent and used car stores vary. Many use a lightweight DMS or accounting software for the books and a separate system to sell. See used car dealer software.
- Buy here pay here stores need the books and the loans tracked; see BHPH dealer software for what the sales side and the servicing side each need.
Questions to ask before choosing a DMS
- Does it handle your state's title, registration and tax forms?
- Which CRM, desking, website and lender tools does it connect to today, and what do those connections cost?
- Can you export every customer, deal and accounting record any time, in a usable format?
- How long is the contract, and what does leaving cost, including getting your data out?
- Who does setup and data conversion, and how long does it take?
- How are backups, access control and customer financial data handled? Dealers have obligations here; our article on dealership data security and FTC compliance lists what to ask.

How CarSales AI works with a DMS, or without one
Alongside a DMS. Your DMS keeps the books, title work, service and parts. CarSales AI runs everything before the deal is booked: the lead inbox, AI texting, Lot Line answering calls, follow-up, desking, inventory and the website. It does not connect to a DMS or QuickBooks today, so the deal moves to the DMS by Deal Accounting's CSV export or by entry; plan for that step. The accounting and QuickBooks FAQ covers the details.
Without a DMS. Some small used car stores keep the books in accounting software or with an accountant and run their selling side in CarSales AI. That works only if you do not need the DMS jobs above inside the same system. If you need full accounting, parts and service in one product, CarSales AI is not the right fit on its own; read who we are not for.
