    Key Takeaways

    • 1
Formula: missed sales calls × % real buyers × % you'd have sold × gross per car.
    • 2
Example inputs (40 missed calls, 50% buyers, 10% sold, $2,000–$3,000 gross) come to about $4,000–$6,000 a month.

What a Missed Call Costs a Used-Car Store (Math Inside)

Most used-car stores have no idea how many sales calls they miss. The phone system knows. Nobody looks.

So let's do the math with your numbers, because nobody else's matter.

    Quick answer

Monthly cost of missed calls = missed sales calls × share that were real buyers × share you'd have sold × gross per car. With the example inputs below (40 missed sales calls a month, half of them buyers, 1 in 10 of those sold, $2,000–$3,000 gross), that's about two cars and $4,000–$6,000 of gross a month. Your inputs will differ; the formula won't.

Step 1: count the missed calls

Pull a month of call logs from your phone provider. Count inbound calls to the sales line that a person didn't answer: rang out, went to voicemail, or hung up waiting. Split them into business hours and after hours. Leave out service and vendors.

If you can't get the log, ask your phone vendor for it. If they can't give it to you, that's your first problem.

    Step 2: the formula

Missed sales calls × % real buyers × % you'd have sold × gross per car = monthly cost

    • Missed sales calls: from step 1.
    • % real buyers: people calling about a specific car or about financing. Be honest; some are just curious.
    • % you'd have sold: your close rate on phone-ups who actually reach someone. If you don't track it, multiply your phone-to-appointment rate by your appointment-to-sale rate.
    • Gross per car: front plus back. Industry data puts total gross per retail car at roughly $2,000–$3,000. Use your own.

    Step 3: an example

Illustrative numbers, not a promise or a benchmark.

    • 40 missed sales calls a month, about 10 a week, mostly evenings and Saturdays
    • 50% were real buyers asking about a car: 20 people
    • 10% of those would have bought if someone had answered: 2 cars
    • $2,000–$3,000 gross per car

About $4,000–$6,000 of gross a month, or $48,000–$72,000 a year. That's before the trade-ins, service visits and referrals those two buyers would have brought.

Change any input and the answer moves. That's the point: once you put your own numbers in, you know what your phone is worth.

    Why voicemail doesn't save it

A used-car buyer calling about a specific car is often calling more than one store. Some leave a message. Many don't. Either way, they're dialing the next store while they wait for you to call back.

Three ways to stop the leak

    1. Staff the phone. A dedicated person or BDC. It works, it costs a salary, and it still goes home at 6.
    2. Forward to salespeople's cells. Free, but cell phones go to voicemail too, and nothing gets logged.
    3. An AI phone agent. Answers every call at any hour and does the first part of the job: find the car, text the link, book the visit.

Lot Line, the phone AI in CarSales AI, does the third. It answers your store's line, searches live inventory, texts the caller the car's link (or the best three matches) while they're still on the phone, checks open times, books the appointment with the car attached and texts a confirmation with the car and your address. If the caller isn't ready, it saves the lead for your team. Its minutes come out of your plan's monthly allowance, with a spending cap you set.
