Group Reporting: What a Dealer Principal Should See Monday at 8 AM
Key Takeaways
- 1Put every store on one screen: units, gross, leads by source, cost per sale, speed to lead, appointments, aged units.
- 2Leave off activity counts that have no outcome next to them.
- 3Agree on definitions across stores before you compare them.

If you own more than one store, Monday morning usually starts with a scavenger hunt. One GM sends a spreadsheet. Another sends a screenshot. A third says "we had a good weekend." By the time you've stitched it together, it's Wednesday.
Quick answer
At 8 am Monday a dealer principal should see every store on one screen: units and gross for last week and month to date, leads by source with cost per sale, speed to lead, appointments set and shown, and aged inventory. Then be able to jump into any store from the same place.
Find the Leaks in Your Dealership OS
Use the free Dealership OS Checklist to spot where leads, inventory, desking, follow-up, and reporting are costing you time or gross.
The one-screen list
- Units and gross, last week and month to date, per store, front and back.
- Leads by source and cost per sale. Which sources make money at which stores.
- Speed to lead by store. The earliest warning you have.
- Appointments set and shown. Next week's units, before they happen.
- Aged inventory: units over 45, 60 and 90 days, by store.
- Exceptions: anything that needs a phone call today.
That's it. If it doesn't fit on one screen, it won't get read.
What to leave off
Activity counts with no outcome next to them: calls made, emails sent, logins. They feel like management. They aren't. Show activity only next to the result it's supposed to produce.
Same definitions at every store
The biggest problem with group reporting isn't the dashboard. It's that "a lead," "an appointment" and "gross" mean something different at each store. Agree on definitions before you compare stores. One system across the group makes that automatic. Three systems make it a monthly argument.
The Monday routine
- Five minutes on the group screen. Find the one store and the one number that's off.
- One call to that GM. Ask what happened, not who.
- Judge the trend over four weeks, not four days.
Three questions for every GM
- Which lead source cost the most per car sold last week, and are we keeping it?
- Which of this week's appointments haven't been confirmed yet?
- Which three cars are closest to 90 days, and what's the plan for each one?
If a GM can answer all three from the same screen you're looking at, your reporting works. If they need a day to pull it together, it doesn't.
What GMs should get from you
The same screen, for their store, with nothing hidden. A GM who sees the same numbers you do fixes problems before Monday. A GM who finds out at the meeting gets defensive.
What CarSales AI shows today
The Portfolio report puts every store side by side, and a store switcher moves you into any one of them. Export it to CSV for your accountant, or turn on the weekly email so the group report lands in your inbox every week without anyone building it. Inside each store, the Sales Scoreboard shows speed to lead, appointments, sold units and gross by salesperson and lead source, with cost per sale by lead source and a Report Builder. Managers can turn on a morning brief by text at 8:15 am with new leads, today's appointments, overdue tasks and aging units.
The Rooftop plan covers franchise, group and high-volume stores, priced per rooftop with multi-rooftop discounts, and includes multi-store reporting, priority setup and team training. Every plan has unlimited users.
